Expenditure Required: $73,794.49 in 2018; $221,383.47 through 2020.

Unencumbered Balance: $380,000

Funding Source: 350.5050.55000, Technology Reserve

 

RECOMMENDATION:

Approve the Professional Services Agreement with Microsoft for Microsoft Volume Licensing Compliance in the amount $73,794.49.

 

SUMMARY STATEMENT:

                     This purchase will cover citywide usage of Office 2016, Desktops, Servers, SQL Databases as well as Exchange.  Approval of this purchase brings the City of Valdez into full compliance with Microsoft Licensing.

                     This is a three-year commitment.  Staff has included quotes for renewal in years 4-6.  Renewal terms would be presented to Council in 2020.

                      Finance Staff calculates an unencumbered Tech Reserve fund balance of $380,000.  IT Staff proposes funding this purchase from this balance. 

                     Staff will incorporate years two and three in the Technology Reserve schedule during the operating budget approval process in the fall of 2018.

                     This does not require a budget resolution, but does require explicit Council approval, as the transaction exceeds the City Manager’s current signing authority.
