Funding Source: $54,232 from Technology Reserve (350.5050.55000) and $9,600 from Department Operating Budgets

 

RECOMMENDATION:

Award bid to Maintenance Connection and approve additional costs of supporting hardware and data packages in the amount of $63,832.

SUMMARY STATEMENT:

Our current Sprocket software was purchased in 2007 and sold by the developer to a larger company (Dematic) in 2013. Our original desire of fleet management being built into the product is not a vision of Dematic.

The Building Maintenance, Port, Harbor, Public Works and IT Departments issued a Request for Proposal to replace the existing maintenance management software. We received four completed proposals, watched online demonstrations for all four and vetted the products as a group. It was determined the complete solution offered by Maintenance Connection would work for the needs of all departments involved.

The cost of this proposal includes mobile devices that can be used in the field, data plans to allow the devices access to online reports, manuals and training as well as third party software that allows the devices to be wiped if they are lost or stolen.

It is expected that the software will be kept on annual maintenance by the Information Technology Department.
